About the Job
Taulia is looking for a Payroll Administrator who will own and manage the payroll process at Taulia. In this role, you will be responsible for continually driving process improvements and be an experienced and trusted payroll resource for the entire company. You will drive the development, management, and administration of the payroll and related tax and equity transactions. The ideal candidate is experienced in the administration of payroll operations, including international and local/state/fed tax compliance topics as it relates to payroll matters. This role reports to the Assistant Controller.
Base Salary Range (Yearly) $100,000-$125,000 USD
Responsibilities
- Prepare, process and review monthly and semi-monthly full cycle exempt and non-exempt payroll including but not limited to benefits, taxes, and off-cycle requests while ensuring compliance with Federal, State, and local regulations, for US, Canada, Australia and additional countries as needed
- Perform monthly payroll close duties, including the preparation of period-end accruals and monthly journal entries for all payroll and benefits, reconciliations of payroll registers to the general ledger, etc.
- Ensures the accuracy and timely process of payroll functions, including but not limited to base pay, bonuses, payroll taxes, employer-paid benefits, equity transactions, employee changes, new hires, 401(k), medical HSA, and other deductions
- Understand proper taxation of employer-paid benefits and equity transactions, including multi-state jurisdiction tax withholding.
- Acts as a liaison with external auditors, supporting auditors in completion of the annual general, 401(K) and WC audits
- Prepares monthly payroll allocations, medical bills expenses allocations, and a few other accounting entries
- Prepare and process fringe benefits of Group-Term Life Insurance for eligible employees and others as needed.
- Prepares and ensures timely reporting of all payroll-related regulatory requirements (1099 taxes, labor statistics, etc.)
- Performs regular reconciliations related to FSA, HSA and other transactions
- Ensures all necessary State and Federal reports, various taxes, and Corporate filings are filed on a timely basis
- Ensures that good payroll financial controls are in place and followed at the organizational and departmental level
- Analyze and reconcile post-payroll reports and quarterly tax filings to identify discrepancies in order to resolve problems in a timely manner.
- Partner with Legal, HR, and Finance teams
- Oversee special projects, including process documentation and improvements, system updates, integrations, upgrades or implementations
- Performs other duties as assigned
Skills, Knowledge and Experience required
- Minimum 8+ years of progressive payroll experience, multi-state payroll experience is required.
- International payroll experience is strongly preferred.
- Strong in-depth working knowledge of payroll principles, rules, and regulations and demonstrated strong payroll technical skills in a variety of areas including, payroll processing, reporting, payroll taxes, etc.
- High functioning, working knowledge of relevant payroll-related standards, codes, GAAP, regulations, and other related requirements.
- Experience with equity payroll transactions and tax implications.
- Experience implementing payroll and HRIS systems.
- A self-starter with the ability to work independently and partner effectively with cross-functional teams.
- Solid experience with local, state, and federal payroll and tax laws.
- Skill in handling workload fluctuations and multiple requests.
- Intermediate to advanced proficiency in Microsoft Excel.
- Knowledge and mindset for automation and improvements to improve processes for scalability.
