The Role
Outreach is seeking a highly organized and detail-oriented Event Coordinator to support the planning and execution of our global events and tradeshow programs. This role is critical to ensuring flawless execution across logistics, timelines, vendor coordination, and internal alignment.
The Event Coordinator works closely with the Event and Field Managers and Event Operations team to bring events to life, managing the details that make complex programs run smoothly. This role is ideal for someone who thrives in fast-paced environments, loves checklists and timelines, and wants to grow into an Event Manager role over time.
You’ll support third-party tradeshows, sponsorships, field events, customer programs, SKO, and roadshows while gaining exposure to event strategy, logistics, vendor management, budgeting, and performance measurement.

Your Daily Adventures Will Include
- Event Planning, Coordination, Logistics, On-Site Support, Vendor and Budget Support. With details below:
Event Planning & Coordination
- Support the execution of tradeshows, sponsorships, field events, customer events, SKO, and roadshows
- Maintain detailed project plans, timelines, and task lists to ensure all deliverables stay on track
- Help build event registration pages and maintain event collateral, tools and resources
- Coordinate internal stakeholders across Sales, Marketing, Creative, and Operations to gather requirements and confirm deadlines
- Assist with event communications, registration tracking, run of show documents, and attendee management
- Support broader marketing events beyond tradeshows, including customer events, field programs, SKO, and roadshows
Logistics & On-Site Support
- Coordinate event logistics including shipping, booth materials, swag, signage, staffing schedules, and vendor deliverables
- Track sponsorship benefits and ensure fulfillment of contracted deliverables
- Assist with on-site setup, execution, and teardown as needed
- Serve as a reliable on-site point of contact to troubleshoot issues and keep events running smoothly
Vendor & Budget Support
- Assist with vendor coordination, RFPs and quotes, POs and invoices
- Support budget tracking and reconciliation to ensure events remain within forecast
- Help maintain organized records for contracts, assets, and event documentation
Post-Event & Reporting Support
- Assist with lead capture coordination, badge scanning logistics, and data uploads
- Support post-event reporting, surveys, and recap documentation
- Help identify process improvements and execution efficiencies for future events
Our Vision of You
- 2–4 years of experience supporting marketing events, tradeshows, field marketing, or experiential programs (B2B or SaaS preferred)
- Exceptionally organized with strong attention to detail and follow-through
- Comfortable managing multiple workstreams simultaneously in a fast-paced environment
- Strong communicator who collaborates well across teams and vendors
- Proactive problem-solver who anticipates needs and takes initiative
- Familiar with project management tools (Asana preferred) and CRM systems (Salesforce a plus)
- Experience with event platforms such as Splash, Bizzabo, or Cvent is a bonus
- Willing to travel (up to ~15%) to support on-site event execution

60000 - 90000 USD a year
The annual base salary range for this role is $60,000-$90,000. You may also be offered incentive compensation, bonus, restricted stock units, and benefits. Actual compensation is based on factors such as the candidate's skills, qualifications, location and experience. Final offers are determined through a holistic assessment and will vary within the posted range. Your Recruiter will share specific details based on your location and role during the hiring process.
